Okta MFA - Step-by-Step Setup guide for Partners and Staff

GBSD Is transitioning some users from Google MFA over to Okta MFA for account authentication. This guide will walk you through how to finish the setup of your Okta account and how to login using Okta MFA verification methods. You can use Okta to gain access to the account in the event of a forgotten passphrase.

Okta Account Setup

Step One: Log In

Go to the GBSD Okta Dashboard portal - https://okta.gresham.k12.or.us/
Enter just your username in the Okta login window. Click Next and then enter your password on the next window, followed by clicking Verify
Next, you will be required and prompted to set up two verification methods.

Step Two: Security Question

A security question is the first of two verification methods that you will set up.

Click "Set up" when prompted:
Choose a security question from the dropdown list, or create your own:

Step Three: Okta Verify App

The Okta Verify App is the second verification method that you are required to set up.

Click "Set up" and follow the next steps on the QR code screen:
1. Having trouble with the QR code? Click "Return to authenticator list" to try it again.
Download the Okta Verify App from the Apple or Android stores
Open the App and Click through the following screens:
1. Click Add Account
2. Click Organization
3. Click Skip
4. Click Scan or QR Code (you may have to enable the camera)
5. Point your phone camera at the QR code shown to scan the QR code
  1. Trouble scanning the QR code? Click the link for "Return to authenticator list" below the QR code to try again.
6. In the app, decide how you would like to handle Push Notifications (if prompted)
7. Decide how you would like to handle the Face ID or equivalent
8. Click Done
9. When you need a code, you can view it by clicking on the eyeball icon in the app

After Setting up Okta Authentication

Options for Login

There are two options for logging into the GBSD account after setting up Okta

Straight to the Google account - https://accounts.google.com which will now use Okta MFA to authenticate you as a user
Login to the Okta dashboard - https://okta.gresham.k12.or.us which will lead you to Google and other GBSD apps that might be available

Note: If you are logging into the account while you are onsite with a GBSD device, and connected to GBSDLearning or GBSDPrivate, you will not be prompted for a security code from Okta Verify

Edit or Reset Verification Options

If you desire to set up an additional device with Okta Verify or you need to set it up again, follow these steps. You can also remove and choose a different security question.

Login to the Okta dashboard - https://okta.gresham.k12.or.us
Open the dropdown under your login name and choose Settings
In the box labeled Security Methods, choose what you need to do
